The agent's job is intake, not pressure
Many teams treat an AI agent as a closer. That backfires: it asks for a demo before it understands need, or it quotes before it knows timeline. The agent earns attention by being useful — it answers the first question, then asks one contextual question at a time.
One question per turn. Never ask budget before need. Never ask budget before timeline. Each question must clearly help the prospect.
What to ask (and when)
| Question | Why it helps | When to ask |
|---|---|---|
| What are you trying to solve? | Defines need and fit | After the agent answers the first inquiry |
| When do you need it? | Defines urgency and priority | Once need is clear |
| Is there a budget range in mind? | Qualifies without anchoring | Only after need + timeline are known |
Budget is a range question ("Is there a range in mind?"), not a number. If the prospect says "not yet", the agent notes it and continues — it does not push.
Handoff rules (written before launch)
- High intent: asks for pricing, a call, or a demo → hand off immediately with full context.
- Regulated topic: legal/medical/financial specifics → hand off (the agent shares only authorized info).
- Human requested: "talk to a person" → hand off in the same channel, no extra form.
- Need + timeline known: hand off with owner, stage and next step for the CRM.
Example flow (3 turns)
Prospect: "Do you handle CRM + web + AI?"
Agent: "Yes. Web platform, CRM and AI agent with follow-up — you keep ownership. What process are you losing today?"
Prospect: "Quotes get lost."
Agent: "Got it. When do you need that fixed?" … then budget, then handoff with notes: "Quotes get lost / wants it this month / budget $10–$15k / owner: sales lead / next: diagnostic 30 min."
What to measure
- Conversations started vs handed off with context (not just "leads").
- Time from inquiry to handoff with owner + next step.
- % of handoffs where the human does not re-ask the same questions.
This is how you know the agent is useful — not by "chats handled" but by human closers not repeating intake.
FAQ
Before you launch an agent
Does AI replace sales?
No. It handles repetitive intake and context gathering. Diagnosis and closing stay human.
When does the handoff happen?
When need + timeline are known, or when the prospect asks for a person, shows high intent, or the topic needs judgment.
What about US timezone coverage?
The agent covers 24/7; the team works your hours (CST = Chicago/Dallas) and receives every handoff with full context.
